Executive Assistant to VP

$65,000 to $80,000 Austin, TX Full-Time Hybrid

This is the role that keeps VP-level leadership running. You will manage the calendar, the travel, the correspondence, and the confidential work that moves between our properties in Miami, Austin, and Dallas, and you will do it with almost no hand-holding.

Here is what this job is not. You will not be buried three levels down from anybody. Our owners are hands-on and in the building, so you will be working shoulder to shoulder with them every day. What You'll Do

  • Calendar and scheduling. Own a fast-moving executive calendar across three time-sensitive markets. Protect focus time, resolve conflicts before they surface, and keep meetings actually useful.
  • Travel logistics. Coordinate multi-city property visits end to end, including flights, hotels, ground transport, and on-the-ground timing, in partnership with our Travel Coordinator.
  • Correspondence. Draft and edit emails, letters, and internal communications on behalf of the VP. Much of what you write goes out under someone else's name, so it has to sound like them.
  • Confidential project coordination. Track deliverables across property acquisitions, owner negotiations, and internal initiatives. Keep the moving pieces visible and the sensitive ones quiet.
  • Meeting preparation. Build agendas, assemble briefing materials, capture decisions, and follow up on action items until they are genuinely closed.
  • Expense and document management. Handle expense reports, contracts, and records with accuracy and a clean filing discipline.

What We're Looking For

  • 2 or more years of executive assistant experience supporting a director-level or higher executive.
  • Demonstrated discretion. You will see compensation details, deal terms, and personnel matters. None of it leaves the room.
  • Strong writing skills. Clear, professional, error-free, and adaptable to someone else's voice.
  • Independent judgment. You decide what needs escalating and what you can simply handle, and you are right most of the time.
  • Comfort with ambiguity. Priorities shift. Properties have emergencies. The calendar changes at 9pm.
  • Proficiency with Google Workspace or Microsoft 365, plus whatever scheduling and expense tools you have used before.

Nice to Have

  • Background in hospitality, real estate, or property management.
  • Experience supporting an executive across multiple locations or a distributed team.
  • Notion, Asana, or a comparable project tracking tool.

Compensation & Details

The base salary range for this role is $65,000 to $80,000, depending on experience. The role is full-time and based in Austin, TX, on a hybrid schedule with regular in-office days plus flexibility around the VP's travel calendar. Occasional travel to Miami and Dallas properties is expected.
